Operational Systems & Process Support

I build the systems that help growing organizations work better.

Operational Systems & Process Support for foundations, accelerators, programs and growing organizations.

I turn scattered operations into simple, documented, repeatable processes — so your team spends less time managing friction and more time on the mission.

The Problem

When organizations grow, operations get complicated.

I turn operational friction into clear systems.

Operational Systems Dossier 02 / 10 — Fit
Who I Work Best With

Growing organizations that have moved beyond improvisation.

Especially when the work is becoming more complex — but another full-time operations hire is not necessarily the answer.

Especially useful when
  • A new program is launching
  • A team is growing or responsibilities are shifting
  • Several people need to coordinate consistently
  • Information is scattered across tools and conversations
  • Processes are not documented
  • Leadership needs better operational visibility
  • Recurring work depends too heavily on individual memory

Selected Systems & Case Studies

The first two case studies are illustrative systems designed to demonstrate how I approach operational problems; they are not descriptions of client engagements. The third is experience-based and anonymized.

Concept Case Study 01

Startup Accelerator Operations System

Situation

A growing accelerator launches a new program and hires a small field team to support entrepreneurs.

Operational Risk

The founder risks becoming the central point for updates, approvals, participant information, deadlines and decisions.

Design Objective

Enable the field team to execute independently while giving leadership the visibility needed to make decisions.

Workflow
ApplicationScreening SelectionOnboarding ProgramMonitoring Investment ReadinessAlumni

Responsibility Matrix

Defines who owns each activity, who validates it and when leadership needs to be involved.

Entrepreneur Pipeline

Creates one shared view of where every entrepreneur sits in the program journey and what happens next.

Priority SOPs

Documents recurring operational activities so routine execution does not depend on informal instructions.

Weekly Operations Report

A concise update covering completed activities, upcoming work, KPIs, blockers, risks and decisions required.

Founder Dashboard

Consolidates entrepreneur status, program progress, overdue actions, deadlines, risks and leadership decisions.

Operational Outcome

A system designed to reduce unnecessary follow-ups, clarify ownership and give leadership visibility without pulling the founder into every operational detail.

Concept Case Study 02

Foundation Program Operations Playbook

Situation

A foundation runs several programs with different audiences, timelines and program teams.

Operational Challenge

Completely different systems across programs create fragmentation, inconsistent documentation and difficult portfolio-level reporting.

Design Objective

Create a shared operational architecture while preserving the specific needs of each program.

Shared Program Lifecycle
ConceptPlanning LaunchApplications SelectionDelivery MonitoringEvaluationCloseout

Program Launch Checklist

Defines the operational conditions, documents, owners and deadlines that must be ready before launch.

Participant Tracker

Creates a shared view of beneficiary participation, milestones, status and next actions.

Partner Tracker

Tracks responsibilities, commitments, deliverables, deadlines and follow-up points across partners.

SOP Library

Creates a reusable reference for recurring program operations across teams.

Portfolio Dashboard

Gives leadership a consolidated view of multiple programs without requiring identical program models.

Document Architecture

Introduces common rules for storing, naming, finding and handing over program documentation.

Operational Outcome

A shared operating framework designed to make programs easier to launch, monitor and report on without forcing every program into an identical model.

The deliverable is never just the document. The goal is the system behind it.Every tracker, SOP, dashboard or workflow is designed around how information moves, who owns the work and what decisions the organization needs to make.

Independent Operational Systems Consultant · Haiti · Remote Worldwide

My background is in HR operations, administration, coordination, documentation, compliance and reporting — work where information must be accurate, workflows repeat, multiple stakeholders need to coordinate, deadlines matter and managers need reliable visibility.

Across processes supporting more than 120 employees, I developed a specific set of capabilities: organizing information, structuring workflows, documenting recurring work, maintaining tracking systems, coordinating stakeholders and improving operational visibility.

Operational systems became the common thread behind that work. I’m now applying that same expertise to foundations, accelerators, programs and growing teams that need more structure without necessarily adding another full-time operations hire.
